This guide explains how to manage standard extract jobs efficiently from start to finish.

πŸ›Ž Workflow Overview
There are two possible actions when a new job arrives:

🟒 1. Provider Accepts and Completes the Job
Steps to Manage the Translation:

Accept the Job:

Click Start Job.

Navigate to the correct template tab (e.g., Birth Certificate Standard Extract).

Check the Source Document:

Make sure the document is clear, legible, and correct.

If the document quality is poor or incorrect:

Select Customer Action Required β†’ Bad Source Document.

Send a message explaining the issue and request a re-upload.

Translate Each Field:

Click View Source Document to open the document.

For each field:

Click the green pen icon next to the field.

Enter the correct English translation.

Save after each entry.

Complete Additional Fields:

If there is extra relevant information, enter it under Additional Fields (e.g., Translator’s Notes, Additional Essential Information).

Complete the Job:
You have two options:

Send to Customer for Review:

If you're not fully confident about certain translations or wish for the customer to verify details, click Send to Customer.

After the customer returns the job, you can Make Changes if needed.

Complete the Job:

If everything is ready, click Complete Job.

Confirm your Digital Certification.

Click Confirm & Generate to finalise the certified translation.

Download and print the certified files if required.

πŸ“¬ If the customer requested postage, print, manually stamp, sign, and mail the physical documents.Always double-check the Job Details after completing the job to confirm postage requests.

πŸ”΄ 2. Provider Cannot Complete the Job
If you cannot proceed with a job:

Non-Agency Jobs:

Select Abandon Job.

Refund the customer separately (refund and abandon are not automatically linked β€” see the Refunds article for details).

Agency Jobs:

Click Surrender to return the job to the Job Pool so another translator can claim it.

Provide a clear reason for abandoning or surrendering any job.

πŸ’¬ Communication During the Process

Use the Messages function for normal customer communication.

Use Raise an Issue if a more serious problem needs to be escalated to AcudocX administrators.

Use Customer Action Required to request document reuploads or action from the customer.
