Once your agency starts receiving and processing jobs through AcudocX, itβs important to understand how to monitor active jobs, track progress, manage any issues, and review completed work through your agency dashboard.
This section will guide you through every step.
π₯ Where to Monitor Jobs
In your Dashboard, youβll find key areas to manage job workflows:
Unassigned Jobs:Jobs submitted but not yet claimed by a provider.
Active Jobs:Jobs currently being worked on by translators.
Active Issues:Jobs where an issue has been formally raised by a customer or translator.
Finished Jobs:Successfully completed and certified jobs.
β These sections give you a complete, real-time overview of your agencyβs current workload and performance.
π Job Progress Lifecycle
Hereβs a typical workflow once a customer submits a job:
Job is Submitted
Appears in Unassigned Jobs.
Available for eligible providers to claim.
Job is Claimed
Moves into Active Jobs once a provider claims the job.
The translator is responsible for translation, certification, messaging the customer, and finalising the job.
Job Progress Tracking
The Job Status will update automatically at each major step:
In Progress
Customer Review Required (if extra edits were made)
Awaiting Customer Action (e.g., for new document upload)
Ready for Completion
Job Completion
Translator finalises the job once translations are completed and certified.
Customer receives an email notification to download their final certified translation.
π¬ Managing Customer Communication
Translators communicate directly with customers through the Messages function.
Agencies can also communicate with both customers and translators through the Messages function.
Messages appear under your agency's name, maintaining a professional brand experience.
All communication happens inside the AcudocX platform β customers will not be able to contact translators personally.
β This protects your agencyβs reputation and keeps customer service streamlined.
π© Handling Issues
If a problem arises during the job:
Customer Action Required:Translators can request customers to fix issues like poor-quality uploads or missing translations.
Raise an Issue:If a disagreement or larger problem occurs (e.g., major translation dispute), either party can trigger a formal Issue.
In this case:
The system will alert your agency under Active Issues.
Both the translator and the customer can propose solutions.
If needed, AcudocX Support can step in to adjudicate.
β Agencies are encouraged to monitor issues and step in where appropriate to maintain customer satisfaction.
π§Ή Cleaning Up β Abandoned Jobs
If a translator claims a job but there are issues jeopardising ability to complete it, they may Surrender the job, or agencies may Surrender the job on their behalf.
If a job remains incomplete, your agency (or AcudocX Support) can abandon the job if needed. Abandoning a job is an absolute last resort and jobs cannot be recovered after this point.
Abandoning jobs is separate to refunding the client. If a job is abandoned, the client will need to be refunded separately.
β Only agencies (not individual translators) have the ability to officially abandon a job if a customer refund is required.
π Reviewing Completed Jobs
Finished Jobs are listed under Finished Jobs in your dashboard.
You can review job details, download final certified documents (if needed), and track timestamps for:
Job submission
Claiming time
Completion time
