Once your agency’s setup is complete (languages, pricing, and Extended Pool configuration), you are ready to start receiving customer submissions.AcudocX is designed to make the customer-to-translator process seamless and efficient for agencies.
Here’s how jobs flow through the system:

👥 How Customers Submit Jobs
Customers can submit translation jobs in two ways:
1. Through Your Agency’s Unique Landing Page
We encourage agencies to create a dedicated landing page for customers to start their translation orders easily.

✅ Your landing page should ideally include:

A simple explanation of your services.

Clear instructions on how customers can start their translation.

A direct sign-up or order now link connected to your AcudocX account.

Contact details (email only) if customers need help.

Information about certification, turnaround times, and supported document types.

Builds trust with customers.

Ensures customers automatically link to your agency when signing up.

Reduces confusion and improves customer conversion rates.

2. Via Your Agency's Unique Quick Link

Customers who use your agency’s specific link will automatically be assigned to your agency.
Place the link on a CTA on your website, in your email signatures, or any advertisement or directory listing

3. Directly Through the AcudocX Public Portal
If customers find AcudocX independently (without using your agency link), they may be able to select your agency from a public dropdown (depending on your visibility settings).
✅ When customers choose your agency, their job will be directed through your agency dashboard.

🔄 How the Job Process Works (End-to-End Flow)

Customer Uploads Documents

Selects source language.

Chooses either a Template Translation (Self-Service or Standard) or a Full Translation.

Logs in using code sent to their email.

Uploads their documents and checks out.

Job Enters Your Agency Dashboard

Appears in the Unassigned Jobs section.

If you have Extended Pool enabled, it’s visible to all eligible providers.

If not, it’s available only to your direct translators.

First Translator to Claim It Is Assigned

Translators claim jobs on a first-come, first-served basis.

No manual assignment is needed by your agency.

Translation, Certification, and Delivery

Translators complete the translation.

Customers receive notifications and download their certified translations.

💬 Customer Communication Management

Translators can message customers through the platform.

Messages are sent in the agency’s name — preserving your brand and professionalism.

Customers never see translator contact details or personal information.

✅ All communications remain fully branded under your agency.

🛡️ Issue Management

If the translator needs clarification or better documents, they can trigger a Customer Action Required message.

Disputes or serious concerns can be escalated through the Raise an Issue function.

Your agency can monitor and assist with any active issues under Active Issues in your dashboard.
